Event Childcare at a Wedding

The Brief

To provide a bespoke childcare package for 15 children ranging from 4 months to 9 years throughout the wedding service, breakfast and evening entertainment. The wedding started at 3pm.

The Process

During the planning stage we agreed with the bride and groom that our service should be offered from 2pm to give parents an hour to settle their children before the service at 3pm. Our services were required until midnight. We made 2 suggestions to the client:

  • Option 1: Have all children in care until after the speeches and then have babysitters for children under 3 to their respective hotel rooms, allowing the older children to partake in the evening entertainment. The cost of babysitters could then either be met by the bride and groom or by the individual parents.
  • Option 2: Operate the crèche until midnight for all children with a designated sleeping area for younger children.

The client chose Option 2. The designated room was set up with separate "Zones" for the different ages. Activities included:

  • Baby Zone - incorporating soft play, small toys, changing & feeding facilities.
  • Toddler Zone - interactive toys, walkers and creative play.
  • The older children had a programme of activities that included t-shirt & ceramic painting; Lego challenges and various board games and activities.

In the evening the baby area became a designated sleeping zone & a soft seated area was set up to allow children to relax, where story time and quiet activities were run. Additional activities were offered for the more energetic children in another room and included craft activities and quizzes.

The Offering

Following the initial conversation with the bride a quote was devised. On confirmation of booking a designated crèche planner was allocated to the booking who liaised with the client from start to finish. The crèche planner was responsible for contacting the wedding venue and conducting a full risk assessment and running through the days plan which included agreeing feeding times and a suitable menu for the children.

As agreed with the bride, an email was provided with our policies and a registration form for the bride to send to all parent's telling them about our service and more importantly, from a parents prospective, telling them who we were. The registration form is requested by us and submitted on the day, ensuring we know all about the children, allowing us to meet their individual needs and settle them quickly into care.

Once the ages of children and numbers were confirmed Tinies selected the best team to suit the children attending. All team members had been interviewed, reference checked and held a DBS/PVG (police check), ensuring the safety of the children. The Tinies Team were easily identifiable in their "Tinies' uniform" - pink logoed polo shirts, black trousers / shorts & name badges.
